Patient Workflows & Flowchart

Welcome to Elixia Health's comprehensive guide on patient workflows and flowcharts within our clinical trial platform. Understanding how patient information flows through our systems is crucial for ensuring seamless trial management and participant care. This document will walk you through the essential steps and processes involved in patient workflows, from initial interest to ongoing participation in clinical trials.

Key Concepts

  • Clinical Trial: A research study conducted to evaluate the safety and efficacy of new treatments.
  • Patient Enrollment: The process through which a patient becomes part of a clinical trial.
  • Patient Status Tracking: Monitoring a patient's progress and status throughout the trial.

What You Can Do

  • Browse available clinical trials
  • Complete health interest surveys
  • Receive targeted notifications about matching opportunities
  • Undergo eligibility screening
  • Provide informed consent
  • Participate in regular monitoring and treatment

How To

Enroll a Patient in a Clinical Trial

  1. Site Referral:

- Patient expresses interest in a study through the MCT portal or via direct contact.

- Patient's contact information is shared with the research site (with explicit consent).

- The site receives notification and creates an initial patient record in MTJ.

  1. Direct Contact:

- The research site contacts the patient directly via phone, email, or postal mail for screening.

- Research coordinator verifies patient's interest and basic eligibility criteria.

- Preliminary health questions are discussed to assess initial fit.

  1. Screening:

- Patient attends an in-person or virtual screening visit at the research site.

- The patient undergoes a detailed screening process including:

- Review of medical history

- Physical examination (if required)

- Lab tests or diagnostic procedures

- Assessment against inclusion/exclusion criteria

- Screening results are documented in MTJ and synchronized with MCT.

  1. Consent:

- If the patient is deemed eligible based on screening results:

- Patient receives the Informed Consent Form (ICF) and detailed study information

- Research coordinator reviews the study protocol, risks, and benefits

- Patient provides informed consent by signing the ICF

- A copy is provided to the patient; the original is filed in the patient's trial folder

- Patient is officially enrolled in the study and enrollment status is updated in both MCT and MTJ.

Move Patient Data Between MCT and MTJ

Manual Onboarding

  1. In MTJ, navigate to the "Patients" tab and click on "Add Patient".

- If adding a new patient, a blank patient form will appear.

  1. Fill in the required patient information:

- Demographics: First Name, Last Name, Date of Birth, Gender

- Contact Details: Email Address, Phone Number, Mailing Address

- Trial-Related Data: Study Name, Site Number, Enrollment Date, Patient ID (assigned by site)

- Medical History: Relevant past medical conditions, current medications, allergies

- Screening Status: Screening results and eligibility determination

- Consent Status: Informed consent date and signature confirmation

  1. Once the patient record is created and verified for accuracy, synchronize the data with MCT by clicking on the "Sync with MCT" button.

- A confirmation message will appear once the sync is successful.

- The patient record is now visible in MCT with all synchronized data.

Automated Sync

  1. Ensure that the API connection is set up correctly between MCT and MTJ:

- Verify API credentials are configured in both systems

- Check that the connection is active in Settings > System Integrations

- Test the connection by performing a manual sync first

  1. Configure the sync schedule according to your trial's needs:

- Navigate to Settings > Sync Configuration in MTJ

- Set the sync frequency (e.g., hourly, daily, weekly) based on trial requirements

- Enable automatic sync to ensure data consistency across systems

- Specify which fields should be synced (demographics, medical history, enrollment status, etc.)

💡 Tip: Regularly check the sync logs to ensure data accuracy and timely updates between MCT and MTJ.

Tips & Best Practices

  • Always consult the MCT platform for the latest information on clinical trials.
  • Keep patient contact information up-to-date to ensure smooth communication throughout the trial.
  • Utilize the visual journey tracking feature in MTJ to keep patients informed about their progress.

Next Steps

  • Discuss your interest in a clinical trial with your doctor or a research coordinator.
  • Complete any required health interest surveys on the MCT platform.
  • Stay engaged with regular monitoring and follow-up appointments as part of your trial participation.
